Multiple Agreements search process
You must follow the instructions below to search multiple agreements within a specific Group of orchestras. (The multiple agreement search is different from the previous CD Rom download.)
** Windows XP Users (The following 4 steps, 1 – 4, apply to only Windows XP users. For all other versions of Windows, please skip down to Windows non-XP Users).
Right click the downloaded file (name is most likely Group_.zip). Select EXTRACT ALL.
An Extraction Wizard window will appear on your screen. Click NEXT.
Extraction Wizard window will prompt you to “Select a folder to extract files to.” We recommend you type: C: in the box. Click NEXT.
The password is ASOL (in caps). After the extraction process has completed, click the Finish button.
*** Non-Windows XP Users (The following 4 steps, 1b-4b, apply to Windows 2000, 98 or other Windows version.)
Right click the downloaded file (name is most likely Group _.Zip). Select OPEN with WinZip. (If you do not have WinZip or similar extracting program such as StuffIt, follow links for download. You do not need to purchase either program.)
(following steps relate to WinZip)
A WinZip window will appear with three buttons. (If you have a trial version, choose the option that says User Evaluation Version.) Then click on the Extraction Icon.
WinZip will ask where you would to “Extract to” with a cell underneath. We recommend you type in C: and select All files and Use Folder Names.
The password is ASOL (in caps). After the extraction process has completed, choose File on the top of the screen and select Exit.
All PC Users (The following steps are for all PC Users whether you have Windows XP, 2000 or other versions, please use these steps to start searching multiple pdf files.)
Open extracted folder.
If you are unable to find the extracted folder, go to your C drive by selecting the START button at the bottom left of your screen and selecting My Computer (or by selecting the My Computer icon from your desktop). Select Local Disk (C:) and click on Agreements. If that fails, go to Start again but select Run. In the cell next to Run, type C:Agreements and select OK.
Select an agreement in the Group (which is saved as a PDF).
If you are using Adobe Reader X (the newest version, as of Sept 2011) follow these instructions to search text or phrases in multiple agreements:
First, open Adobe Reader. From the toolbar at the top, select “Edit”, then scroll down to “Advanced Search”. To search multiple agreements, check the box “All PDF documents in” and click the drop-down list located directly under. Select the folder in which you extracted the files. If it is not listed in this list, click “Browse for location…” to browse your folders. At this point, enter the phrase or word you’d like to find and click the Search button. It will display every instance of the word(s) in the documents that was found.
You can copy and paste text into a Word document by using the “Select Tool” icon on the Adobe toolbar. Highlight the text or line you want to copy, right-click on your mouse and select Copy to Clipboard. Then go into a Word document, right-click on your mouse and select Paste.
If you are using Acrobat Reader 4.0, 5.0 or 6.0 follow the instructions below to search for text and phrases in the PDFs .
To Find a particular word in the open agreement on your screen, select the left Binocular icon on the Adobe toolbar and enter the word you would like to Find.
To Search for word(s) in multiple agreements of the Group, select the right Binocular icon from the toolbar and enter the word or phrase you would like to find.
You can copy and paste text into a Word document by using the “T” icon (Text Select Tool) on the Adobe toolbar. Click on the “T” icon, highlight the text or line you want to copy, right-click on your mouse and select Copy. Then go into a Word document, right-click on your mouse and select Paste.
We suggest using the File-Print function on the Adobe toolbar for all printing needs. Do not select the printer icon on the Adobe toolbar as this will print all agreements in this group. Keep in mind that most agreements are many pages in length and will require large amounts of paper in your printer.
You will need to execute this function for each budget Group in order to be able to search multiple agreements. Once you complete this download for each budget Group, the files will be downloaded and saved in your C:Agreements drive.
If you can’t remember the name of the agreement file, go to Start located in the lower left of your screen, and select Run. In the open field of the Run pop-up screen, type C:Agreements and click on OK. You will be led to the agreement location on your computer.
The instructions are for PC users only. MAC users should be able to download the multiple agreements; however we advise MAC users to contact the Resource Center for assistance. Please follow the instructions provided for successful download of the agreements.
